Client overview

Our client is a utilities maintenance services provider responsible for inspecting, maintaining and repairing critical infrastructure across multiple regions. Field teams, schedulers and the operations office all rely on up‑to‑date documentation, work orders and reports to keep services running safely and on time.

Over time, the organisation had grown rapidly and was using Dropbox as its primary document repository for policies, job packs, inspections, photos and reports. As the volume of data and number of users increased, the limitations of this setup became clear.

Challenges

  • Fragmented file storage in Dropbox
    Project folders, contracts, safety documents and site photos were spread across multiple personal and shared Dropbox areas, making it difficult to find the latest version of critical documents and increasing the risk of data silos.
  • Limited control and governance
    Permissions were hard to manage at scale, especially with contractors and rotating field crews. There was no simple way to enforce consistent access rules or audit who could see what.
  • No central point of truth
    The same file often existed in multiple folders or personal drives, leading to duplication, confusion and wasted time for supervisors and operations staff.
  • Manual, email‑driven requests
    Operations managers and supervisors handled new requests (e.g. new project folders, access changes, template updates, new maintenance forms) via emails and ad‑hoc spreadsheets. This made tracking, prioritisation and reporting difficult.
  • Lack of automation and visibility
    There was no standardised way to capture, route and monitor requests from the field to the operations team, resulting in delays and follow‑up calls for status updates.

Our solution

Cloud Solution IT designed and delivered a modern Microsoft 365 solution that combined a structured SharePoint document management system, a migration from Dropbox, and an automated request process driven by online forms and Power Automate.

  • Information architecture & SharePoint design
    Worked with the operations manager and key stakeholders to design a SharePoint site structure aligned to how the business actually works – by region, asset type, project and team. Defined standard libraries, metadata and security groups for consistent access and easier search.
  • Dropbox to SharePoint migration
    Planned and executed a staged migration of operational documents, project folders and shared resources from Dropbox into SharePoint Online. Folder structures were rationalised, duplicate content reduced and permissions aligned with Microsoft 365 security groups.
  • Standardised document templates
    Centralised key templates (work orders, inspection checklists, safety forms, reports) in SharePoint so field staff and coordinators always access the current version from a single source of truth.
  • Operations request form
    Created an online request form (using Microsoft Forms or a SharePoint form) for the operations manager and team leads to log requests such as: new project / job folder creation, new staff / contractor onboarding, access changes, new template requests and configuration changes.
  • Automated workflow with Power Automate
    Built a Power Automate flow that captures form submissions, writes them into a SharePoint list, assigns them an ID and routes each request to the right owner. Email notifications and status updates keep requestors and the operations manager informed at each step.
  • Tracking and dashboards
    Implemented a simple dashboard (using SharePoint views or Power BI) so the operations manager can see open requests, priorities, owners and ageing at a glance, improving planning and accountability.
  • Training and change management
    Delivered targeted training sessions for office and field staff covering how to access the new SharePoint sites, use the request form, and work with the new folder and metadata structure.
