Non‑Profit Cloud Optimisation
About the organisation
GWC is a non‑profit located in the south of Melbourne that helps children and adults with developmental disabilities find housing and services. The organisation had invested in technology to connect its locations and to improve staff access to information and software, but was not getting the full value from these systems.
Business challenge
While new technology was in place, GWC lacked a clear understanding of what their systems could do, how to arrange data for fast access, and how to structure their environment for efficient, reliable operations. They needed a true technology partner – one that would understand their mission and day‑to‑day operations, and deliver support that worked around their schedule, not the other way around.
- Understand how to utilise new technology and develop an integrated system.
- Improve data and file organisation to make information easier to find and use.
- Find a technology partner who could translate technical concepts into clear, practical guidance.
Solution
GWC selected Cloud Solution IT as their ongoing technology partner to help them understand, optimise, and evolve their environment.
- Cloud platform enablement
Explained the capabilities of their new centralised cloud computing platform and showed how to leverage its functions for day‑to‑day operations. - Structured work and training program
Developed a work and training schedule carefully arranged to avoid conflicts with staff priorities, ensuring minimal disruption to client services. - Office 365, OneDrive and SharePoint training
Trained employees on Office 365, OneDrive and SharePoint to improve office efficiency, data access and secure remote access. - System mapping and information architecture
Mapped systems, data and file structures to organise information, streamline access, and reduce duplication. - Cloud server implementation
Implemented a new cloud server environment, replacing aging on‑premises servers and providing fast access to data from all locations. - Key components delivered
Implementation of a virtual server environment, an Office 365 training program, and a secure mobile VPN solution for staff on the go.
Client experience
“CloudSolutionIT has been very attentive and seems to strive for a great experience to the user. They truly want to make our technology seamless. The whole process of them helping with migrating us to OneDrive and putting our server in the cloud was such an easy process for us. They worked around our schedule and not theirs.”
Michael Kirschner, Assistant Director of Individual Services, GWC
Results
From a hodge‑podge of systems, software and data, The Arc of the Triangle now operates on a seamless, streamlined environment with consistent access to the same information and applications across all locations.
- Seamless, integrated system
Staff now access the same information and software from all locations through a unified, cloud‑based environment. - Improved staff capability and confidence
Employees understand the capabilities of their software and know how and where to access their data, reducing friction and support overhead. - Trusted 24/7 technology partner
The organisation has a trusted partner available whenever questions or issues arise, providing ongoing guidance and support. - Significant cost savings
By moving to a full cloud server solution and retiring three legacy local servers, the organisation avoided approximately $25,000–$30,000 in capital expenditure – freeing funds to be redirected to client services.
